Introduction
The Back Office is an interface that enables specific users to oversee and control the resources and activities in which other users will participate. Typically, the individuals with access to this system hold managerial positions or have ownership rights over the application.
Registration for the site is overseen internally by the highest authority. Within the Back Office site, authorized users can access various sections dedicated to managing distinct aspects of the application, depending on their role. Once granted access, users can also create roles that specify which sections are visible and accessible to different users.
Currently, the roles present in Reflectis are:
- User: This role is assigned automatically to new users when they subscribe to a tenant. It is hidden from back office users and comes with basic permissions. The "User" role cannot be managed via the Back Office site.
- Tenant Manager: This role is assigned manually and internally. It cannot be managed through the Back Office site. The Tenant Manager has permissions to assign roles to users of the tenant, such as:
- Member: This role allows users to access the WebGL and VR worlds. The Tenant Manager can assign the "Member" role to users for one or more worlds.
- World Owner: The Tenant Manager can further assign this role to one or more "Member" per world, granting them additional permissions specific to that world.
The sections that make up the Back Office are:
- World: General section where access to the platform is controlled. The information here is read-only, only the Tenant Manager can create and edit world properties.
- Invites: Section dedicated to managing invitations. Here, the World Owner can create, send, ensuring controlled and secure access to the platform.
- Experiences: Section to create and manage core Experiences for the platform.
- Content Tag: Section to create labels to assign to Environments, Experiences and Sessions.
- Files: Section for managing multimedia uploaded to the platform.
- Environments: Section for managing and import environments on the platform.
- Permissions: Section to manage user roles and permissions
- Users: List of users with their respective roles.
- Analytics: Section where the World Owner can view the main analytics of presence and experiences of the selected world. Administrators can now configure an external Learning Record Store (LRS) directly from this section.
The sidebar is divided into two parts:

First Section: Designed for the "World Owner" or any custom role that can view sections related to the selected world. It contains the sections listed above.

Second Section: Specifically for the Tenant Manager, consisting of:
- Tenant: Section for viewing and managing the list of worlds and assigning member and world owner permissions to tenant users.
- License and Data: Section for viewing analytics and checking the status of the license.
This division ensures that access and management capabilities are well organized based on user roles and responsibilities.
